Techbridge Girls’ after-school programs have served over 7,000 girls in California (Bay Area), Pacific Northwest (Seattle) and DC Metro Area (Washington D.C.). Using an ecosystem approach, Techbridge Girls has created a strong platform for STEM professional development that expands the capacity of partner organizations and individuals to deliver high-quality STEM (Science, Technology, Engineering, and Math) programming with a focus on equity. Through partnerships with school districts, youth development organizations such as Girl Scouts and YMCA, and other partners, Techbridge Girls has reached over 20,000 adults through trainings and resources for role models, after-school staff, and families.

Founded in 2000 as a program of Chabot Space & Science Center, Techbridge Girls spun off as an independent 501(c) (3) in 2011. Position Overview:

The Operations Manager is responsible for the database administration, national processes and operations, and all our IT functions.  The Operations Manager provides support to team members across all departments and all locations.  This position reports to the Chief Operating Officer and works closely with all of the leadership team members as well as department heads.  This position is full-time and will be located in our headquarters’ office in Oakland, CA.

 

Key Responsibilities:

Database Management

  • Manage the Salesforce database and support various departmental needs. Manage Salesforce consultants as needed.
  • Identify Salesforce training needs among staff and provide ongoing training as needed. Develop training documents and guidelines for Salesforce and other IT platforms.
  • Drive organizational-wide compliance and best practice usage.
  • Ensure database integrity through use of audits, improved functionality, improved security, and ongoing feedback to users; maintain user and security settings
  • Manage the data entry workflow.
  • Maintain Board and Salesforce records for annual audit.
  • Create standard and custom reports and dashboards — with staff, determine which reports are needed (monthly, weekly, etc.).
  • Build queries and exports for complex mailing lists and segments such as newsletters, membership and direct mail appeals, and event invitations.

National Operations

  • Renew and maintain all business licenses and state registrations for each region.
  • Manage contracts processes, including reviewing, uploading, tracking and signing contracts. Check each vendor against OFAC database. Ensure risk is minimized and all appropriate indemnities are included.
  • Develop and manage national and regional vendor relationships. Identify cost savings and efficiencies.
  • Create and oversee a system of cost effective procurement for all locations.
  • Assist with updating and creating general manuals/policies, as needed.
  • Assume a proactive role in increasing the efficiency and organization of operations.
  • Support COO on research and preparing documents, including correspondence, reports, research and other materials.
  • Develop and implement emergency procedures for all sites in all regions.
  • Review insurance plans and oversee renewal process with insurance brokers, including liability and workers’ compensation. Work with insurance brokers to ensure adequate coverage for new contracts, partnerships and grants for all sites.
  • Catalogue and monitor certificates of insurance from partners and vendors; respond to requests and work with brokers for Techbridge certificates.

IT

  • Manage the relationship with the Managed Services Providers who support all technology including computers/networks, website, video conferencing, etc.
  • Be first point of internal contact and provide technical assistance for staff with IT needs; act as primary liaison with the IT Managed Services Provider as needed, and escalate issues to other vendors as needed.
  • Oversee the upgrades and revisions of website content, design and restrictions. Develop and deliver training for relevant staff as they need to update content.
  • Oversee, identify and recommend optimal solutions for using technology to streamline and support the work of all departments and ensure greater efficiency and communication across sites and the organization.
  • Review, develop, and implement IT guidelines; devise new organizational systems as needed.
  • Determine costs and budgets for IT projects and monitor spending in accordance with budget.
  • Support other IT platforms as they are adopted.

 

Qualifications:

  • Extensive experience working with Salesforce applications and related environments
  • Proven background in operational related roles.
  • Proven background in vendor management and relationship-building skills.
  • Excellent computer and computing technology skills, both in user and super-user environments.
  • Excellent organizational and time management skills with strong attention to detail. Proven record of follow-through on assigned tasks.
  • Excellent written and verbal communication.
  • Comfort with proactively seeking and incorporating feedback; positive attitude.
  • Experience with budget development a plus.
  • Passion for the Techbridge Girls’ mission.
